Types of invoices

In this section, we will delve into the intricacies of understanding your invoices, focusing on the two distinct types: Zoho Invoices and FastSpring Invoices.

Zoho Invoice

Zoho Invoice stands as DocuSketch new payment system, streamlining payment processing. This advanced system generates invoices delivered via email and also provides a downloadable PDF version accessible through your DocuSketch Web Portal.

Introduced on July 27, 2023, the Zoho Invoice system is the new designated platform for all new users and customers since that date. Here is how Zoho Invoice looks:

  1. Tax ID: Displays the unique Tax Identification number for Immoviewer, Inc DBA DocuSketch.   This can be used by the client to report business expenses for tax purposes.
  2. Invoice Number: Represents the identification number assigned to the specific invoice.
  3. Balance Due: Highlights the outstanding payable balance reflected on the invoice.
  4. Billing Details: Provides a snapshot of the current billing information on record.
  5. Invoice Date: Presents the date when the invoice was generated.
  6. Due Date: Specifies the deadline for payment. Unsettled invoices past the due date may result in service interruption.
  7. Billing Period: Offers insight into the duration covered by the invoice.
  8. Invoice Breakdown: Comes in two forms: Subscription Invoice and Usage Invoice.  Subscription Invoice: Breaks down recurring contractual payments based on subscription terms.   Usage Invoice: Details service and system usage throughout the billing period.
  9. Totals and Payments: Shows the sub-total payable amount, taxable amount, included tax, and the overall payable sum. Any payments made are also taken into consideration.

FastSpring Invoice

FastSpring Invoice is the alternative payment system utilized by DocuSketch. Similar to Zoho Invoice, it generates invoices via email and offers a downloadable PDF version within your DocuSketch Web Portal. Here is how FastSpring Invoice looks:

  1. Receipt Order Details: Encompasses Order Identification Number, Order (Invoice) Creation Date, and Payment Date.
  2. Purchaser Details: Showcases the billing information on record.
  3. Seller Details: FastSpring is a payment processor used by Docusketch on these invoices.  Customers billed by FastSpring are FastSpring customers for billing purposes only.  The Seller information included here is the FastSpring W-9 information for tax purposed.
  4. Invoice Breakdown: Provides a breakdown of the invoice based on the usage of services and products.
  5. Total Payables: Illustrates the Subtotal, applied sales tax, and the overall payable amount.
  6. Download Button: Facilitates the download of the invoice in PDF format.

For most users who subscribed to the DocuSketch System from 2018 until July 27, 2023, the transition to the Zoho Invoice system is recommended.

Key Differences

Zoho Invoices offer more comprehensive breakdown details compared to FastSpring invoices. This distinction prompted DocuSketch's shift to the Zoho system. Users are encouraged to consider converting their Subscription billing to the Zoho Invoice system.
