Understanding Project Access Levels

Prev Next

When adding a new user in DocuSketch, you will see a section called project access.
This setting controls which projects a user can view, access, and share — helping your team stay organized and ensuring the right people have access to the right information.

Choosing the right access level is important for keeping your workspace secure and running smoothly:

Project Access Options

Own Projects

If a user is set to Own Projects, they’ll only see and manage the projects they personally create.

  • Best for: Field staff, photographers, or anyone working independently.

  • What it means: They’ll only have access to their own work — no one else’s projects will appear in their list.

Office Projects

Users with Office Projects access can view, access, and share any projects created within their own office group.

  • Best for: Teams that collaborate within the same branch or office.

  • What it means: Everyone in the same office can see and work on each other’s projects, but they won’t see projects from other offices.

Company Projects

With Company Projects access, the user can view and share all projects across the entire company, including all offices.

  • Best for: Managers, administrators, or anyone who needs a company-wide overview.

  • What it means: They’ll have full visibility of every project under your organization’s account.

Are there limitations?

Since only Company Administrators and Office Administrators can create new accounts, only they can set the project access level.

Company Administrators

  • If a Company Administrator creates an Employee, they can set any project access level.

  • If a Company Administrator creates an Office Administrator, they can set only office or company project access levels.

  • If a Company Administrator creates another Company Administrator, the company access level is granted by default and cannot be changed.

Office Administrators

  • If an Office Administrator creates an Employee, they can set either their own or office access level.

  • If an Office Administrator creates another Office Administrator, they can set only the office access level.

Why This Matters

Setting the right Project Access Level helps:

  • Keep data secure and organized

  • Make teamwork easier within offices

  • Ensure users only see the projects that are relevant to them

Quick Tips

  • Think about the user’s role before assigning access.

  • If they work solo → choose own projects.

  • If they’re part of a local office team → choose office projects.

  • If they oversee multiple offices → choose company projects.

By choosing the right access level, you will make sure everyone in your DocuSketch workspace has exactly what they need — no more, no less!
