Managing accounts as an administrator

Overview

This article explains how to manage accounts in the DocuSketch web portal. Each available management function is described in detail below.

To begin, click on the "People" button at the navigation menu:


Pay attention to the action panel of any account in your organization:

Each of these 4 buttons represents an action you can do.

"Add user" button


This button allows you to add an employee directly to that office account (note that this button is only available for office accounts):

"Edit" button

This option allows you to edit important account information, for example, username or password. It also allows to deactivate the account. Depending on the type of the account, actions which can be done under this option vary:


  • These two editing windows have one difference. User accounts have an "Office" drop-down option that allows you to reassign the user to a different office account. 
  • Other than that, phone numbers, and addresses may be added and edited along with the account’s login credentials. 
  • An email can also be sent to notify the account holder.
  • The "Delete" button makes the account deactivated, making it unusable. 

Permissions

This option allows you to customize permissions for each account (note that deactivating certain permissions can make that account user unable to use certain functions):

  • Archive tours — putting a check in this box enables the user’s ability to archive tours in their account.
  • Download files — putting a check on this permission setting enables the download functionality of the account. This means that the user can download sketches, estimate files, etc.
  • Tour invitation — disabling this option removes the user’s ability to share tour links. This option produces a sharable link for tours.
  • Run your live session — putting a checkmark in this box enables the users’ ability to do live sessions in the account. The "Show live" button on the tour option panel will disappear when this permission is disabled.
  • Copy tour — enabling this permission for the user allows them to make copies of a tour to their account or to another one. This option is always disabled by default.
  • Order sketches — this option enables the user’s ability to order sketches from their account.
  • Order estimates — disabling this option removes the user’s ability to order estimates for themselves and the tours under their accounts.

Note: each permission can be enabled or disabled for individual accounts. This allows you to preset the type of account you want a person to have.

"View tours" button

This option allows you to view the tours under this account. This covers both active and archived tours. Two options will drop down when you click on this button:

  • Here you can view both the active tours list and the archived tours list. 
  • Active tours list displays all the active tours under this account. Here, you can access the account as if you were the account owner yourself to manage, share access, and edit tours as well as download files. 
  • Archived tours list displays all the archived tours under the account. You can access all the tours archived under the account.
